Management Skill #4:
Using Tools to Fix Employee Errors
Invoiced to the Wrong Customer
This happens especially with new employes who are just leaning the system. Example: They will already be working on an invoice when they have a new customer come into the store.Often they will forget to pull up the new customers file before creating a quick ticket or invoice. As a result the quick ticket/invoice will get put onto the wrong customers account. If this is not noticed right away, it can cause lots of confusion. You must first figure out who you think the clothes actually belong to, then you must transfer the invoice to the correct customers account.
Here is How:
1. Pull up the customers invoice which is on the WRONG account. 2. When you are sure you have the correct invoice number up on the screen, type TI into the command line to transfer the invoice. Answer yes to the prompt. 3. Type in a detailed explanation as to why you are doing this. 4. Now locate the CORRECT customers account on which the invoice belongs. 5. CleanSuite will confirm that the customer you look up is the correct one you wish to transfer the invoice to. If it is, click yes. |

Duplicated Customer Accounts
This happens most often when the clerk fails to locate the customer in the system and creates a new account. When they are unable to find the customer, they mistakenly add a new account into the system for the customer. This creates a problem when the customer already has items in the store. We end up with clothes in two separate accounts. To fix this you will need to join the two duplicate accounts to make things right again.
Here is How: 1. Using past invoice numbers for the client as reference, locate the two duplicate accounts. 2. Bring up the first account using the command line. 3. Now type J into the command line. 4. Type in a detailed explanation as to why you are doing this. 5. Now locate the CORRECT customer account. 6. CleanSuite will confirm that the customer you look up is the correct one you wish to join. If it is, click yes. |
